SAF (Store And Forward): Steps for enabling and operating Offline Credit Card Processing

Good News:
Most Heartland Restaurant merchants installed in 2023/24 have Offline Credit Card Processing turned on by default. 

To confirm you are ready for an internet or processing outage: 
  • Important: perfom this test only on a termial that is connected to an EMV Card Reader not a Wisecube mobile reader.


  • Log into the POS as a manager on each terminal that is attached to an emv reader.

  • Select the ☰ option in the top right of POS. 

  • Go to Manager > General > Toggle on "Force Offline Credit Card Processing"

    • If there is no error message the system is working as intended.

    • If there is an error message please try again from Setup - Step 1. If that does not resolve the issue please contact POS Specialists support Team.

  • Disable Force Offline Credit Card Processing after your test.

  • Complete testing on all other EMV readers. 



Heartland will process your SAF application. This will take a few days.

When you merchant account is updated and ready, they will send you an email stating that your credit card reader devices are ready for a download.

Once you have received that email please follow these instructions:


Setup: 

  1. During the next day of business (before any credit card transactions taken place) power cycle your emv reader.

    • For a PAX S300 unplug the device from power for 5 seconds and plug it back in.

    • For a PAX A920 hold the power button on the side until the device turns off and then hit it again to turn back on.

    • FYI: WiseCube Mobile EMV Readers are not capable of processing offline.

  2. Once the download has completed you may be prompted to accept the new terms and conditions or accept the update, hit next or ok.


Testing:

  1. Once the device is back to its normal home screen please test the offline processing functionality for each device.

    • Log into the POS as a manager on each terminal that is attached to an emv reader.

    • Select the ☰ option in the top right of POS. 

    • Go to Manager > General > Toggle on "Force Offline Credit Card Processing"

      • If there is no error message the system is working as intended.

      • If there is an error message please try again from Setup - Step 1. If that does not resolve the issue please contact POS Specialists support Team.

    • Disable Force Offline Credit Card Processing after your test.

    • Complete testing on all other EMV readers. 


Once all devices have been tested you are ready to process credit cards offline.


Daily Operations:

  1. You do not need to manually activate "Force Offline Credit Card Processing". The system will automatically process cards offline.
  2. Perform transactions and adding tips as usual.
  3. You will see a warning at the top of the screen when you process offline that will disappear in time on its own when the internet is restored.
  4. Once an internet connection is restored all transactions and tips will be batched as usual. No action is required from your end.
